Office Information

We strive to provide you with outstanding medical care as well as a pleasant, efficient office experience.  You will find information below concerning our office policies and patient forms.  If you have questions, please call our office at 919-781-6200 and one of our administrative staff will gladly provide assistance.

Office Hours
  • Our office hours are from 8:00 to 5:00 on Monday-Thursday, and on Friday 8:00 to 4:00.
  • To provide patient care after hours, one of our physicians is on call 24 hours a day to handle emergencies and deliveries.  Our answering service will notify one of the physicians if you have a problem that cannot wait until office hours.  
  • If you have an emergency that cannot wait for a telephone call, go immediately to the nearest hospital ER.
Appointment Information
  • It is a good idea to schedule a yearly exam at least two months in advance, although we frequently are able to accommodate patients in less time.  
  • It may be necessary for you to see someone other than your regular physician if your need is emergent.
  • Please arrive 15 minutes before your scheduled appointment to complete registration.  
  • Please bring your picture ID and your insurance card to all appointments.  
  • If you are unable to keep your appointment, please notify our office in advance.
  • In an effort to stay on schedule, we reserve the right to reschedule your appointment if you are more than fifteen minutes late.
Insurance and Billing
  • We are in network with most major insurance plans.  Here is an up to date list of insurance companies that we are contracted with.
  • If we are not contracted with your insurance plan, it is our office’s policy that payment is due at the time services are performed.  You will be given an encounter form so that you may file a claim for reimbursement.  Exceptions to this policy will be made in the event of office surgical procedures, surgeries performed in the hospital and maternity care.  In these cases, we will submit your claims on your behalf, even if we do not have a contract with your insurance company.  
  • Any specific questions about whether a service our office provides is covered needs to be directed to your insurance company.  You can contact your insurance company by using the number listed on the back of your card or by going to their website.  
Prescription Refills

Prescription Refills will be called in during regular office hours.  Please allow 24 hours for your prescription to be refilled.

Medical Records
  • All medical records are confidential.  No information is given over the telephone without your written consent.  Your written authorization is required before records will be released to insurance companies or others.
  • If you would like to request your medical records from our office, please fill out the Authorization for Release of Information.
Test Result Notifications (Wake Med)

All lab results performed through Wake Med laboratory will now be released immediately to you through the WakeMed MyChart account if one has been set up. We want you to know this, because you may see the results even before we do.

If you would like to set up a MyChart account, you may go to WakeMed.org, select MyChart and sign up now.

Some important information about your test results:

  • Please give the practice 7 days to review the results.
  • Some values may be outside of the standard range given by the lab, but still be considered normal depending on the situation. This is especially true for labs drawn during pregnancy.
  • We will notify you of normal results using the notification systems Client Tell or Rhinogram text message.
  • We will notify you of abnormal results using Rhinogram text message or phone call.

In the event that you have waited for the prescribed period of time and the results are still unavailable, please notify our office.

Test Result Notifications (Rhinogram)

To better serve you, we will be transitioning away from Client Tell and into Rhinogram by the end of 2021. Rhinogram is a HIPAA-compliant text message system that allows you to communicate with Kamm McKenzie using text for test results, scheduling, or communicating with a nurse for medical questions. No need to download an app, simply send and receive texts through standard text messaging. This new system will make it much easier and less frustrating for you to communicate with our staff while still ensuring your right to privacy. You will be able to receive communications from our office at your convenience by replying “Yes” to the text you receive requesting permission to communicate via text or sending a text to the office number at 919-781-6200.

Some important information about obtaining your test results:

  • Time frames for test results:
    • Pap Smears: 3 weeks after your pap smear was obtained.
    • Biopsies (cervix, vulva, vaginal, endometrlal): 1 week after your biopsy was obtained.
    • Ultrasounds, CT’s, MRl’s, X-Rays, Bone Density Tests: 1 week after your image was taken.
    • Lab work/Blood tests: 5-7 days after the culture was obtained or as requested by our physician.
    • Mammogram: 2 weeks after your procedure.
  • The Rhinogram system may be accessed by any mobile phone nationwide durirng ·business hours. If you send a text after hours, we will respond as soon as possible the followirng business day.
  • Please do not send a text message for urgent matters. You may call the office or on-call doctor after hours.
  • Please refrain from calling our office to ask for the above test/lab results within the time frames listed above. In the event that you have waited for the prescribed period of time and have not received your results, please call the office.

We hope this system will save you time and eliminate the frustration of obtaining results. If you have any more questions about Rhinogram, please don’t hesitate to ask.

Patient Portal

Our patient portal program is called My Health Record. Through My Health Record you will be able to request appointments, make payments,  request prescriptions, view health records, manage your profile, send and receive documents and forms and send secure messages.  At the time of your initial registration, if you offer us a secure email address, you will be sent an invitation to become a My Health Record portal account holder. The invitation includes a link that will take you to the registration page. The registration procedure is straightforward, but should you need assistance, we are here to assist. We encourage all patients to register for their portal account and take advantage of this valuable health management tool.
